Attendees are encouraged to contribute toward the cost of DVDs, CDs, renting the venue space, and other group expenses.

Meditation meetings follow the recommended format for Silent Local Groups:

Step 1.
Decide what kind of meeting you will have.
There are two types of meetings, a silent meditation meeting or a social gathering/event.
A silent meditation meeting follows the recommended format for Silent Local Group Meetings.
If you are scheduling a silent meditation meeting, please follow the recommended format for silent local group meetings:

A social gathering/event can take a variety of forms:
It can be a reading circle you organize at home to share one of Eckhart’s books, it can be a discussion circle, etc. The purpose of a social gathering/event is to foster a sense of community and connection among group members.
Step 2.
Decide on the time, place, and meeting details.
• Plan ahead and announce your meeting with plenty of notice.
• What will be the timeline of your meeting? How long do you expect it to take?
• Where will you hold the meeting? At your home? At another venue?
• Do you need to set an “RSVP limit,” or will the venue hold as many people as may come?
• Will you serve refreshments, tea, etc?
• Will you have a bouquet of fresh flowers?
• Etc.
Venue Suggestion:
The First Unitarian Universalist Center in San Francisco

This has been the location of many a past meeting, and is an ideal venue for this group. Our group usually rents the “Macondray Hall” room in the basement because it is very quiet and spacious. It is a large enough space that you will not have to worry about setting an “RSVP limit” for a meeting held there. (Macondray Hall is NOT wheelchair accessible.)
The fee for Macondray Hall is $60 for a 3-hour chunk of time, and that includes use of the TV, DVD player, and hot water for tea. It is a good idea to request a sweeping of the floors before your meeting.

Note: The preferred method of payment for venue rental at the First Unitarian Universalist Center is by check. Checks can be delivered by hand or mailed to “attn: Jay Roller” at the above address. Please send the check well in advance of your scheduled meeting.
Step 3.
Contact Julia and ask her to make you a temporary “Assistant Organizer.”
Assistant Organizers can use the group’s Meetup website to:
• Create, edit, and delete meetings (i.e. Meetups)
• Email the entire Meetup Group
• Give members custom titles
• Edit, delete, and close Message Board discussions
• Create and edit Message Board forums
• Add, edit, and delete photos and photo albums
• Create, edit, and close Polls
• Add, edit, and delete the list of venues the group uses
• Add, edit, and delete Files
Step 4.
Use our group website (via Meetup.com) to schedule, announce, monitor and manage your meeting.
Please plan your meeting far enough ahead of time so that you can post it to the website and announce it to the group with plenty of notice. (Ideally, a new meeting should post to the group website and be announced to the group at least two weeks in advance of the actual meeting date.)
When posting your meeting to the group website, please include as much detail as possible in the meeting description. Indicate whether your meeting will be a silent meditation meeting or a social gathering/event.
If you have any technical problems using the Meetup website, please contact Meetup Support for help.
When you schedule your meeting via our group’s website on Meetup, you will have the option of charging members money to RSVP. Charging a fee can help you cover the costs of organizing your meeting. Alternatively or additionally, you can collect contributions from attendees at the meeting. Please keep track of how much you spend on organizing your meeting. If the contributions you receive from attendees exceed the expense of organizing your meeting, please notify Julia and pay the difference to the group’s account.
Step 5.
Contact members who do not use computers.
This group allows members who do not use computers, the internet, or email to participate in all group functions. They should be contacted by phone and invited to your upcoming meeting.

Step 6.
Hold your meeting!
• Collect donations from attendees to help you cover the costs of your meeting.
• Take note of attendance.
• At the end of the meeting, ask attendees to leave feedback about the meeting via Meetup.
• If you like, take a photo or two to at your meeting to post on our group website later.
• Have a terrific meeting!

Step 7.
Follow up on the website after your meeting.
Please follow up on your meeting within 5 days after the meeting was held.
Rate your meeting, report attendance, post meeting photos, and leave comments via our group’s website.
Contact Julia if contributions from attendees exceeded the expense of organizing your meeting so that she can collect the difference for the group’s account.
